The use and disclosure of personal data is governed in the United Kingdom by the Data Protection Act 2018 (the Act).

By providing the service with consent to use your image / comments for use in promotional materials, you understand that your personal data will be collected and processed for this purpose.

These images may appear on our website, newsletters, social media accounts, in our printed materials produced for promotional purposes including leaflets, posters and adverts, in materials sent out to the media, or in reports to funding bodies as well as internal publications.

 

Why do we need to process your information?

We have obligations under the Fire and Rescue Service Act 2004 which include the promotion of fire safety to members of the public. To meet these requirements, we would like to use your image as part of both printed and online promotional materials.  We may also use images and comments on our internal intranet page and/or our website or as part of official reports produced by the service.

 

What types of personal data do we process?

We may process your name, email address, location of photograph / film, image both still and moving. Where the subject is a child, we shall also process the contact details of the parent/guardian(s). Only the image will be published as part of this procedure.

 

Where do we get the personal data we process?

Most of the data will be provided by you or in the event of the subject being a child by a parent/guardian.  Images will be captured by service personnel or provided by you.

 

What is our lawful basis for processing personal data?

Our lawful basis for processing your data for this purpose is found in the UK GDPR Article 6(1)(a) Consent.  You can withdraw you consent at ANY time and ask us to stop processing your data. 

 

What security measures do we use when processing your personal data?

We take our data processing responsibilities seriously and only record the minimal amount of information necessary for the required purpose.  Where you information is captured physically it will be held until it is transferred to our computer system before being securely destroyed.  Information held on our computer systems is secured within protected folders accessible only by our staff who need to in order to process it for the specified purpose.

 

What disclosures do we make of your personal data?

We may use your image on our website or other promotional material, both physical and online, including our social media accounts.  Where images are used online we shall take all necessary steps to retain control of the image. However, it should be understood when used online the image could be viewed across the world.

 

How long do we retain your personal data?

Whilst consent is maintained we will hold your image and data for a period of 10 years, after which it will be automatically deleted.  If you remove consent, we will immediately stop processing your data on any future publications.  It may not always be possible to remove any previous processing already in the public domain.
